Under the direct supervision of the Manager, the Events Coordinator is responsible for coordinating all in-house and off-site events and functions’ including catering, and serves as a liaison between Aboriginal Centre tenants, staff and the general public including public and media relations, marketing and communications. The Events Coordinator serves as the main contact responsible for ensuring the Aboriginal Centre of Winnipeg adheres and maintains Heritage Canada standards and Guidelines.
KEY DUTIES & RESPONSIBILITIES: Events Greets, directs and resolves all enquiries in a professional and friendly manner; provides general information regarding Centre’s services; maintains and updates overall events calendar; coordinates all function and event requests; notifies all corresponding departments of events as required; posts in-coming schedules and flyers of upcoming events; maintains schedules; updates facility rental information as required, provides rental information as needed; provides facility and catering estimates; prepares rental agreements; is responsible for ensuring tables, chairs, meeting rooms, equipment, etc. are prepared in accordance with client needs/requests; ensures adequate security on hand for all in-house events; maintains and updates facility rental information as needed; ensures all meeting rooms, facilities are cleaned and prepared for next day’s events; works closely with Building Superintendent to ensure tables, chairs, etc. are set up and cleared away for all events. Catering Coordinates all hospitality including providing estimates on catering requests; transports catering to and from off-site locations; ensures all catering product is presented in compliance with Aboriginal Centre standards, works closely with Restaurant Manager to ensure catering pricing and menus are up-to-date, ensures adequate catering staff has been hired for in-house events; Media / Public Relations Serves as a primary point of contact for all media inquiries; assists with preparing and maintaining media kits; assists with preparing news releases; is responsible for initiating and maintaining media contact database; monitors, tracks TV, radio and print copy; prepares and maintains media policy for Manager approval; Heritage As the main contact, the Events Coordinator initiates and maintains a solid working relationship with Heritage Canada; sources out and researches funding opportunities to assist with on-going building repairs and needs, works closely with the Building Superintendent to ensure all heritage standards, guidelines and requirements are met; organizes and coordinates all heritage documents for proper archiving; assists with maintaining building integrity.
